Responsibilities
Client Specific Tasks:
Act as the point of contact among executives, employees, clients and other external partners
Format information for internal and external communication – memos, emails, presentations, reports
Assist with internal & external meetings – take minutes, room bookings, catering, equipment, IT, meeting materials and resources as required
Manage executives’ calendars and set up meetings
Arrange & co-ordinate travel and accommodation bookings
Arrange corporate events to take place outside of the workplace, such as events and staff appreciation events
Maintain an organized filing system of paper and electronic documents
Uphold a strict level of confidentiality
Develop and sustain a level of professionalism among staff and clients
Rack daily expenses and prepare weekly, monthly or quarterly reports
Screen and direct phone calls and distribute correspondence
Requirements
Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
Experience supporting C-level executives in an international environment is preferred
Familiarity with logistics or technology consulting sectors would be an advantage
Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software and applications
Flexibility to occasionally adjust working hours to accommodate different time zones
Have the availability to travel internationally from time to time
Proficiency in collaboration and delegation of duties
Strong attention to detail, particularly in document preparation and calendar management.
Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
Proactive approach to anticipating needs and managing priorities.
