Responsibilities

Client Specific Tasks:

  • Act as the point of contact among executives, employees, clients and other external partners
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Assist with internal & external meetings – take minutes, room bookings, catering, equipment, IT, meeting materials and resources as required
  • Manage executives’ calendars and set up meetings
  • Arrange & co-ordinate travel and accommodation bookings
  • Arrange corporate events to take place outside of the workplace, such as events and staff appreciation events
  • Maintain an organized filing system of paper and electronic documents
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clients
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Screen and direct phone calls and distribute correspondence

Requirements

  • Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
  • Experience supporting C-level executives in an international environment is preferred
  • Familiarity with logistics or technology consulting sectors would be an advantage
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software and applications
  • Flexibility to occasionally adjust working hours to accommodate different time zones
  • Have the availability to travel internationally from time to time
  • Proficiency in collaboration and delegation of duties
  • Strong attention to detail, particularly in document preparation and calendar management.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Proactive approach to anticipating needs and managing priorities.
