Responsibilities
Act as the point of contact among executives, employees, clients and other external partners
Format information for internal and external communication – memos, emails, presentations, reports
Take minutes during meetings
Manage executives’ calendars and set up meetings
Make travel and accommodation arrangements
Arrange corporate events to take place outside of the workplace, such as events and staff appreciation events
Maintain an organised filing system of paper and electronic documents
Uphold a strict level of confidentiality
Develop and sustain a level of professionalism among staff and clients
Rack daily expenses and prepare weekly, monthly or quarterly reports
Screen and direct phone calls and distribute correspondence
Client Specific tasks:
Travel Organization
H.R. Software upkeep
Schedule meetings and keep of track of meeting notes
Assist management with task and project management
Minor Payroll duties
Staff KPI management
Requirements
Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software and applications (e.g. e-calendars and copy machines)
Proficiency in collaboration and delegation of duties
Strong organisational, project management and problem-solving skills with impeccable multi-tasking abilities
Exceptional interpersonal skills
Excellent verbal and written communications skills
Friendly and professional demeanour
Outstanding organizational and time management skills
Must be willing to work in a fast-paced environment
