Responsibilities

 

Salary : 40,000 - 45,000

NATURE / SCOPE OF RESPONSIBILITY:

Pre Contract Administration

Expression of Interest

  • Receive a contract request with supporting documentation from BDM / Sales Admin
  • Review documents for completeness before CRM data entry and build contract preparation
  • Prepare and issue accurate, contract-compliant sales documents and associated paperwork.
  • Coordinate land contract request with stakeholders
  • Ensure all contract packs are complete and lodged to clients in a timely manner.
  • Maintain structured file storage in SharePoint. Liaise with sales consultants, drafting, estimating & legal to facilitate smooth transitions.
  • Update CRM and deal tracker immediately upon change.

Post Contract Administration

Signed Contracts

  • Track finance due dates, balance deposits and contract conditions.
  • Maintain milestone tracker for each deal using Onsite Companion
  • Coordinate extension or waiver documentation as directed by BDM.
  • Review, process and capacity to pay and finance documents
  • Manage contract variations and ensure they are captured, documented, and processed correctly.
  • Update land registration milestones, providing regular feedback to stakeholders.

Job Release to Pre Construction

Finance Approval + Site Access + Land Registration

  • Track and push finance approved jobs on registered land through to Pre Construction
  • Order site-specific surveys (soils, contours) and ensure timely follow-up for workflow progression.
  • Review job thoroughly, ensuring every part is complete and accurate for other departments
  • Where applicable, review contract price against fixed price contract conditions
  • Obtain and save relevant land documentation for other departments Conduct weekly audit of open deals awaiting colours complete or other various milestones.
  • Provide weekly pipeline summary of forecast releases to management

Requirements

  • 2+ years in residential construction contract administration or sales administration
  • Demonstrated knowledge of the sales-to-construction process
  • Exemplary organizational skills, record keeping systems & folder management
  • A confident, professional manner with high attention to detail Intermediate competency of Microsoft Office programs including excel, sharepoint and outlook for email
  • Proven ability to interpret contracts and manage supporting legal/finance documents
  • Ability to communicate clearly, confidently, and concisely both verbally and in writing.
  • Demonstrated ability to solve problems and negotiate mutually beneficial outcomes
  • Proven ability to build and maintain customer relationships, whilst meeting and managing their expectations
  • Demonstrated ability to assess customer satisfaction and identify areas for improvement.
  • Must be a team player and willing to work in a fast-paced environment
  • Full time positions available
  • Amenable to work onsite in either Ortigas, Pasig City or Cubao, Quezon City
