Responsibilities
Salary : 35,000 - 40,000
Recruitment Coordination & Administration
- Provide recruitment administration support from role set-up through to placement and close-out.
- Create and maintain roles, candidate records and recruitment activity in JobAdder, ensuring accuracy, consistency and timely updates.
- Support job advertising processes, coordinating postings across agreed channels.
- Prepare candidate-facing materials (e.g., Candidate Guides) and internal documentation (e.g., candidate summaries)
- Coordinate interview scheduling and candidate communications, ensuring an organised and professional experience for candidates and stakeholders.
- Support proactive sourcing activities by assisting with market maps and talent pools (including Excel templates and LinkedIn Recruiter).
- Conduct required screening checks aligned to process (e.g., social media checks for later-stage candidates), escalating any concerns appropriately.
- Support internal and external recruitment communications (e.g., weekly vacancy updates, tiles/graphics as requested).
- Monitor and diarise time-sensitive items where required (e.g., visa-related reminders).
Offers, Onboarding & Employee Lifecycle Support
- Prepare offer documentation to draft stage, including Employment Contract Request Forms, Employment Agreements and New Employee Forms.
- Coordinate pre-employment checks (including probity checks and assessments), tracking progress, following up delays and escalating issues.
- Coordinate onboarding workflows using the New Starter Checklist, ensuring stakeholders are notified and actions are completed.
- Maintain employee file documentation
- Coordinate administration requirements for offshore staff onboarding and IT inductions in liaison with Operations and relevant departments.
- Support administration of temporary assignments, ensuring records and internal reporting are updated appropriately.
Systems, Documentation & Reporting
- Support reporting requirements including preparation of the Monthly Board Report and other recruitment activity summaries as requested.
- Support data hygiene and quality control within JobAdder (statuses, notes, tags and filing).
- Provide general system support and act as a point of coordination for JobAdder process adherence, escalating technical issues where required.
- Maintain recruitment collateral and template libraries (ads, candidate summaries, interview guides, PDs, offer letters, tiles/graphics).
Candidate Care & Relationship Maintenance
- Support candidate care practices, including maintaining warm candidate relationships through periodic communications to suitable candidates, as directed.
Compliance & Audit Readiness
- Ensure recruitment and onboarding records are complete, compliant and auditready, including approvals, advertisements, candidate notes, screening outcomes, contracts and filing.
Requirements
- With atleast 2 years experience as Talent Coordinator
- Strong working knowledge of ATS workflows (JobAdder experience highly regarded) and confidence with document management and filing standards.
- Demonstrated experience in a People & Culture coordination, recruitment coordination, or high-volume administration role (professional services environment preferred).
- Intermediate MS Office skills (Word, Excel, Outlook, Teams) including using templates and producing clean, consistent documents.
- Experience coordinating multiple stakeholders across scheduling, onboarding and documentation workflows.
- Experience with LinkedIn Recruiter (talent pools, basic market mapping).
- Exposure to background checks, probity checks, psychometrics and audit/document governance.
- Works within defined templates, processes and approval pathways.
- Makes day-to-day coordination decisions on scheduling, drafting documents to template, follow-ups and workflow tracking.
- Escalates exceptions, delays, risks, or non-standard requests (e.g., probity issues, contract variations, sensitive candidate matters) to the Talent Manager for decision.
- Full-time positions available and can start ASAP
- Amenable to report onsite in either Ortigas, Pasig City / Cubao, Quezon City
- Amenable to work in any shift
